About the Role

Capstone Financial is seeking a professional and personable Receptionist / Client Servicing Administrator to join our Operations Team in Altrincham.

This is a key role within the business, supporting both our advisers and clients. You will be responsible for ensuring client reviews are scheduled and processed efficiently, maintaining a high level of accuracy and delivering an exceptional client experience at every touchpoint.

Key Responsibilities

  • Acting as the first point of contact for clients, managing reception duties including answering and directing calls
  • Coordinating meeting room bookings and ensuring rooms are prepared to a high standard
  • Running reports via our back-office system to identify clients due for financial reviews
  • Supporting advisers by providing reports and booking client review meetings
  • Contacting clients to arrange review meetings (face-to-face or virtual)
  • Managing adviser diaries effectively
  • Logging all client interactions and maintaining accurate records within the system
  • Following up with clients where contact has not been successful, including written communication in line with company processes
  • Preparing client review packs for meetings
  • Managing client engagement activities, including birthday communications and gifts
  • Maintaining a professional and welcoming office environment
  • Supporting general administrative tasks, including stock management of office supplies
  • Delivering exceptional customer service both in person and over the phone

Skills & Experience

  • Proficient in Microsoft Office (Outlook, Word, Excel, Teams)
  • Strong communication and organisational skills
  • Confident and professional telephone manner
  • High attention to detail and accuracy
  • Ability to manage multiple tasks and prioritise effectively
  • Proactive, flexible, and team-oriented approach
  • High level of integrity and respect for confidentiality
